Service / Tenant Screening

Screening that protects your investment.

Tenant screening in Kansas City that is thorough, written down and applied the same way to every adult applicant, on both sides of the state line.

01 / Why it matters

The resident you choose is the biggest risk you control.

Tenant screening in Kansas City is where most rental problems are either prevented or planted. A late-paying resident, an unpaid balance or a lease dispute usually traces back to a thin application check.

Stalwart screens every adult applicant against the same written criteria, using integrated screening software tied to our owner and tenant portals. You get a documented file and a consistent standard. Applicants get clarity about what we look for before they pay a fee.

Screening is included in our flat listing fee, and it is part of our tenant placement and full management services.

02 / What we check

A complete picture, not a single score.

Each applicant’s file draws from several independent sources.

Credit and financial history

  • TransUnion credit report
  • Evictions, bankruptcies, liens and judgments
  • Payment history on open credit

Criminal background

  • Criminal SuperSearch, plus county and statewide criminal searches
  • Statewide comprehensive reports, including court-level misdemeanors and traffic
  • Nationwide sex-offender registry, inmate and arrest records

Identity and income

  • Photo ID (driver’s license) and SSN verification
  • Two most recent consecutive pay stubs
  • Gross monthly income of at least 3× monthly rent

Rental history

  • Address history
  • Prior-landlord verification of on-time payment
  • Consent to credit, criminal, eviction and rental-history inquiry
03 / The process

How an application moves.

A predictable path means applicants know what to expect and owners see every step.

Step / 01

Apply online

Each adult 18+ completes the application and pays the $100 non-refundable fee.

Step / 02

Submit documents

Photo ID and two recent pay stubs go in through the online software.

Step / 03

Review the file

The reports are checked against our written criteria, and the owner reviews the file and terms.

Step / 04

Decision and lease

Approved applicants are invited to e-sign through dotloop. Denials include adverse-action documentation.

04 / Written criteria

Standards that are published, not improvised.

When the criteria are in writing, owners can rely on them and applicants can see how decisions are made.

  • Income. Gross monthly income of at least three times the monthly rent.
  • Credit. Twelve months of payment history on all open credit weighs more than the raw score. A lower score may still be accepted with 12 months of on-time payments.
  • One-time eviction. Reviewed case by case with a valid explanation; may require first and last month’s rent plus a one-month security deposit.
  • Bankruptcy. With a valid explanation, first and last month’s rent plus a one-month deposit, three times rent in total.
  • No verifiable rental history. May require last month’s rent upfront in addition to first month and deposit.
Owner’s discretion

All approvals and denials are subject to the owner’s discretion, within the written criteria. If an applicant is declined for credit, we provide credit documentation.

Credit history: why 12 months beats one number

A single score tells you little about how a person pays this month’s bills. A year of on-time payments on every open account shows the habit you want in a resident. That is why we weigh the payment history on all open credit more heavily than the score itself. An applicant with a modest score and twelve clean months can be a stronger risk than one with a higher score and recent lates.

Evictions, bankruptcies and conditional approvals

A prior eviction or bankruptcy does not automatically end an application. We ask for a valid explanation and review the circumstances. If the owner is comfortable, we may approve conditionally with extra money upfront: first and last month’s rent plus a one-month security deposit. Conditional terms protect owners without shutting out someone who has recovered.

Fair Housing and consistency

Stalwart is committed to HUD Fair Housing and equal opportunity. Every adult applicant is evaluated by the same written criteria. We do not screen by protected class, and we do not steer applicants. Our Fair Housing page explains our commitment, and owners who work with us agree to the same standard.

Adverse-action notices and FCRA

When an application is denied, or approved on less favorable terms, because of information in a consumer report, the federal Fair Credit Reporting Act requires an adverse-action notice. It tells the applicant which reporting agency supplied the information and explains the right to a free copy and to dispute inaccuracies. We provide adverse-action documentation so decisions are transparent and defensible. You can read the law and guidance at the FTC’s credit reporting resource.

Kansas and Missouri notes

Screening principles are the same in both states, but deposits, notices and eviction procedures differ. Our team is licensed in both Kansas and Missouri, so we apply the right rules to your property. For a plain-English comparison, read Kansas vs. Missouri landlord-tenant laws and our tenant screening checklist.

What owners should expect from the process

Screening reduces risk but cannot remove it. No report predicts the future, so we pair thorough checks with clear lease terms, inspections and a documented rent collection timeline. If an applicant has no verifiable or adverse rental history, we may require last month’s rent upfront in addition to the first month and deposit. Owners decide the terms they are comfortable with, including move-in date, pets and offered rent, and we apply them consistently. For the collection side, see rent collection.

After approval: reserving the home

Signing a lease does not reserve a home. The full security deposit does; otherwise the home stays on the market. The deposit and first month’s rent are paid in certified or cleared funds before keys, and residents must carry renter’s insurance listing Stalwart Management LLC as “additional interest.” See our application process and leasing policy for details.

A TransUnion credit report; county, statewide and national criminal searches; sex-offender registry, inmate and arrest records; SSN verification; address history; eviction, bankruptcy, lien and judgment records; income verification; and prior-landlord verification of on-time payment.

How much income does an applicant need?

What is the application fee?

$100, non-refundable, per adult applicant aged 18 or older.

Can someone with an eviction or bankruptcy be approved?

Possibly. A one-time eviction or a bankruptcy is reviewed with a valid explanation. Approval may require first and last month’s rent plus a one-month security deposit. The owner has final discretion.

Does a low credit score mean automatic denial?

No. We weigh 12 months of payment history on all open credit more than the raw score. A low score may be accepted with 12 months of on-time payments.

What happens if an applicant is denied?

We provide adverse-action documentation, and credit documentation if the denial is based on credit. This follows the federal Fair Credit Reporting Act.

Is screening included with tenant placement?

Yes. Screening is part of the flat listing fee, in both tenant placement and full management.
