Privacy Policy
Plain-English details on what we collect, why we collect it and the choices you have. Effective October 23, 2026.
Effective date: October 23, 2026. This Privacy Policy explains how Stalwart Management LLC (“Stalwart,” “we,” “us”) handles personal information when you visit stalwartmgmt.com, request a rental analysis, contact us, submit a maintenance request, apply to rent, or work with us as an owner or resident. This page is provided for general information and describes our practices; it is not a contract.
1. Information we collect
We collect only what we need to respond to you and to manage rental homes.
- Information you give us in website forms. Our free rental analysis, contact and maintenance request forms ask for details such as your name, email address, phone number, property or rental address and the message or request you write. Please do not enter Social Security numbers, bank details or other sensitive data in these general forms.
- Information from calls, texts and email. If you call, text or email us, we keep the contact details and the content of the conversation so we can follow up and document the issue.
- Technical information. Like most websites, our hosting provider and security tools may log your IP address, browser type, device type, pages viewed and the date and time of your visit.
- Application and resident information. When you apply to rent or become a resident, we collect the information described in section 5 and in our application process.
2. How form submissions are processed
Form submissions are received by the form-handling service of our website hosting provider and delivered to our team. The provider processes the information on our behalf to deliver, store and protect those submissions, and may use service providers of its own. We use form information to answer your question, prepare your rental analysis, schedule maintenance and keep a record of our communications. We aim to reply to form submissions within one business day.
3. How we use information
- To respond to inquiries and provide the services you ask for.
- To market, lease, manage and maintain rental homes, collect rent and keep required records.
- To screen rental applicants using the same written criteria for every adult applicant.
- To operate, secure and improve this website.
- To comply with legal obligations and enforce our agreements.
4. We do not sell your personal information
Stalwart does not sell personal information, and we do not share it for third-party advertising. We share information only with service providers who help us operate (for example, our hosting provider, property-management software, e-signature and screening vendors, vendors who perform repairs at your home, accountants and attorneys), with property owners where needed to manage their property, when you ask us to, or when the law requires.
5. Tenant screening and consumer reports
If you apply to rent a home we manage, we ask for your written consent to obtain a consumer report. Screening may include a credit report from a consumer reporting agency such as TransUnion, criminal and eviction records, identity and address verification, income verification and prior-landlord references. These reports are used only to evaluate your application and are governed by the federal Fair Credit Reporting Act (FCRA) and applicable state law.
If an application is denied, or approved on different terms, because of information in a consumer report, we will provide an adverse-action notice that identifies the reporting agency. The agency did not make the decision and cannot explain it, but you have the right to a free copy of your report within 60 days of that notice and to dispute inaccurate information with the agency.
6. Third-party services
- Rentec Direct (resident and owner portal). When you click through to our portal to pay rent, submit a maintenance request or view statements, you are using a service operated by Rentec Direct. Its collection and use of your data is governed by Rentec Direct’s own terms and privacy policy.
- dotloop (electronic signatures). Leases and related documents are signed through dotloop and are subject to dotloop’s terms and privacy policy.
- Google Fonts and Google Maps. Our pages may load fonts, and some pages embed maps, from Google. When these load, your browser sends Google your IP address and standard request information. Google’s privacy policy applies to that data.
- Rental listing sites. Our listings are syndicated to third-party rental sites and our current-listings platform. Those sites have their own privacy practices.
- Social media. If you follow or message us on Facebook, Meta’s policies apply to that activity.
We do not control these third parties and encourage you to read their policies.
7. Cookies
We keep cookie use to a minimum. Our website may use small files or similar technology that are needed for the site to work, remain secure and remember simple preferences. Third-party services we embed, such as maps, or the portal you visit, may set their own cookies. You can block or delete cookies in your browser settings; some features may not work as expected if you do.
8. Retention
We keep personal information only as long as needed for the purposes above, including to meet lease, accounting, tax, fair housing and other legal record-keeping requirements. Website inquiries that do not lead to a business relationship are retained for a limited period and then deleted or de-identified. When information is no longer needed, we delete it or securely dispose of it.
9. Phone calls and text messages
If you give us your mobile number, we may call or text you about your inquiry, application, lease, maintenance, rent or showing. Message and data rates from your carrier may apply. You can ask us to stop non-essential texts at any time by replying STOP or contacting us. We do not sell or share mobile numbers with third parties for their marketing. We may keep records of calls to our emergency and office lines for service quality and documentation.
10. Security
We use reasonable administrative, technical and physical safeguards, including cloud-based systems with access controls, to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please use the secure portal rather than email for sensitive documents when possible.
11. Children’s privacy
Our website and services are directed to adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.
12. Your choices and rights requests
You may ask to access, correct or delete personal information we hold about you, or ask questions about this policy, by emailing leasing@stalwartmgmt.com or calling 913-229-9040. We may need to verify your identity first, and we may keep information we are legally required or permitted to retain, such as lease and accounting records. Depending on where you live, you may have additional rights under state law; we will honor requests as required by applicable law.
13. Changes to this policy
We may update this policy from time to time. The effective date at the top shows when it was last revised. Material changes will be posted on this page.
