01 / Owner accounting

Property management accounting that respects your time.

Property management accounting in Kansas City should answer three questions without a phone call: what came in, what went out and what you need for taxes.

Stalwart’s owner accounting runs on integrated software that ties together accounting, screening, owner and tenant portals, reporting and payment processing. When a resident pays rent, a vendor sends an invoice or a lease is signed, the record lands in one system and feeds your statement.

Our team started as small investors, so the reports are designed the way we wanted them as owners: complete enough to audit, plain enough to read between meetings. A business accountant is on staff, so the books aren’t an afterthought handled by someone outside the company.

05 / Inside the statement

What an owner statement contains.

A statement should let you reconcile a month in minutes. Here is what our monthly income and expense summary is built to show.

  • Income. Rent and other income received for the property during the period.
  • Expenses. Repairs, maintenance and other charges paid on your behalf, tied to an invoice you can open in the portal.
  • Management charges. The monthly management commission and any applicable fees, as described in your written agreement.
  • Net to owner. The amount deposited to your account.
  • Supporting documents. Invoices, lease records and inspection reports available alongside the statement.

The exact layout can vary by property type, so ask to see a sample when you request your proposal.

The owner portal document vault

Paper records get lost, and email attachments are hard to search. Your owner portal keeps the lease, the management agreement, tenant documents, move-in and move-out reports, inspection records and maintenance invoices in the cloud. When your CPA asks for proof of a roof repair or you want to double-check a lease term, you open the portal and don’t have to call us.

Remote owners, including those in other states, rely on this most. See how it fits our investor property management approach.

Taxes and year-end

We prepare year-end 1099s and give you the monthly statements that support your records. Tax treatment depends on your situation, including depreciation, entity structure and state, so we don’t give tax advice. Share your statements with your CPA, who can apply them to your return.

Trust and escrow practices, in general terms

Security deposits and owner funds are sensitive, and both Kansas and Missouri regulate how they’re handled. We follow the requirements that apply to the state where your property is located and keep records through the same accounting software that produces your statements. When a turnover happens, the move-out inspection and security-deposit disposition are documented in an itemized report. Ask us for the specifics of how funds are held when you review your management agreement.

Reporting and your involvement level

Some owners read every line; others glance at the net deposit. You choose your level of involvement, from fully hands-off to fully hands-on, and every issue is documented either way. Statements connect to maintenance and inspection records, so a question about an expense leads straight to its invoice and photos.
